Сhallenge: 42Flows.Tech has been a longtime advocate of Google Workspace (GWS). Their teams have thrived on its functionalities, finding the collaboration tools exceptionally beneficial. The company was gearing up to elevate its GWS experience by upgrading to a more advanced edition to get more out of this platform. However, the primary concern that needed immediate attention was the presence of multiple domains within the company.

Managing multiple domains led to some users being licensed across two GWS accounts, which proved less cost-effective for the company. To resolve this issue, the company needed to merge these accounts into a single cohesive one and seamlessly transfer users, documents, emails, calendars, and all crucial data to streamline operations and not to overpay for the users twice.

Solutions: To tackle the company’s needs head-on, 42Flows.Tech partnered with Cloudfresh, a team of certified professionals with solid expertise in migration processes from diverse platforms.

Initially, Cloudfresh engaged with 42Flows.Tech, delving into migration processes, gathering vital data, and securing necessary accesses for a comprehensive project evaluation. The Cloudfresh team got ready by creating a migration checklist and setting up a project board in Asana for 42Flows.Tech to track each team member’s responsibility, progress, and any challenges during the process. Following negotiations, the teams aligned on several migration objectives:

1.  Consolidating users into a single domain while safeguarding crucial data.
2.  Removing the previous domain for users transferred to the new one.
3.  Implementing a primary domain change.
4.  Incorporating alias domains for enhanced user functionality.

Cloudfresh’s tech experts conducted a test migration to ensure a seamless transition. They meticulously executed all essential tasks, using a single user as an example to transfer and validate the entire migration process. Once 42Flows.Tech gave the thumbs-up to the test migration, Cloudfresh swiftly initiated the migration process for all users requiring a transfer, seamlessly aligning and syncing data from one Google account to another.

In a fairly short time period, the tech experts succeeded in:

1. Consolidating and merging Mails, Calendars, Contacts, and Drives — encompassing all Docs, Sheets, and Slides — from two separate accounts into a singular, unified entity. This consolidation ensured that the company avoided redundant expenses for the same users.
2. Establishing the primary domain: the licensed domain was established as the primary address, simplifying sign-ins and providing a centralized mailbox for all the accounts.
3. Removing the emails from the old domain: As per the initial plan, Cloudfresh’s tech experts went beyond user migration to assist 42Flows.Tech in domain transfers. They expertly managed this by eliminating all email addresses linked to the old domain and transitioning it to a new console as an alias.
4. Creating alias domains: Cloudfresh administrators seamlessly crafted email aliases for users, facilitating the smooth sending and receiving of emails from alternative addresses within the domain.

Now, with the revised setup, the second domain is automatically assigned whenever an account is created. Everything operates seamlessly under a unified GWS account, offering a cost-effective approach to managing multiple domains concurrently.

With the primary request resolvement, 42Flows.Tech decided to level up their GWS experience for enhanced functionality. Teaming up with Cloudfresh, they transitioned from the Business Starter to Standard editions.

This upgrade unlocked various possibilities for the teams. Now, the 42Flows.Tech has advanced meeting capabilities, welcoming up to 150 participants, noise cancellation, video recording options, the ability to appoint co-hosts, and meeting transcriptions — an array of features empowering seamless collaboration. The company also supercharged its storage, escalating from 30 GB to 2 TB per user. This upgrade also enhanced their Drive functionalities, enabling teams with Shared Drives, customizable templates, robust auditing and reporting tools, and other impactful features.
