Case Study: Archimatika

"Architecture project management is about thousands of tasks working in sync. With Asana, we’re building a project system that brings clarity, control, and flexibility to how teams operate. It’s not just a tool—it’s a smarter way to work.”

How Leading Architecture Firm Archimatika Restructured Workflows with Asana

About the Company

Archimatika is a leading Ukrainian architectural firm known for designing functional, livable spaces. To date, the company has planned over 15 million square meters—5 million of which have already been built, with another 4 million in progress. Its portfolio includes standout developments such as UNIT.City, Faina Town, Comfort Town, and the Respublika residential and shopping complex.

The company operates across multiple departments—architecture, engineering, construction, urban design, and master planning. Each project involves thousands of tasks, demanding well-coordinated teamwork.

Challenges

Before implementing Asana, Archimatika encountered several hurdles in managing its projects:

  • No unified system – Teams used various tools like Excel and MS Project, resulting in disorganized processes and duplicated work.
  • Limited visibility into task progress – Critical information often stayed with team leads, making it difficult to monitor project status.
  • Lack of transparency – Engineers worked on multiple sites simultaneously, and without a centralized system, overlapping tasks were hard to prevent.

These issues slowed down workflows and led to avoidable inefficiencies.

Solution

To address these challenges, Archimatika partnered with Cloudfresh, an official Asana solutions provider, for system consultation and implementation.

The transition process included:

  1. Process audit – Identified which workflows to migrate to Asana, focusing on design and back-office tasks.
  2. Team selection – Chose pilot teams to start using Asana.
  3. Template and process setup – Defined project structures and assigned responsibilities.
  4. Team onboarding – Established a mentoring system to guide users.
  5. Pilot launch – Tested Asana within real project workflows.
  6. Feedback loop – Gathered input and refined the system based on user experience.

Results

Centralized task management – All work is now organized in one system with clearly assigned responsibilities and deadlines.

Greater process visibility – Team members can track their tasks, deadlines, and status via the My Tasks view.

Smarter resource allocation – Managers have a complete view of workloads and can redistribute tasks as needed.

Better project oversight – Timeline features help the team monitor task dependencies and react promptly to changes.

Asana has become essential to Archimatika’s daily operations thanks to its adaptability and alignment with real workflows.
