Uklon: How Google Workspace and Gemini Cut the Path from Data to Decisions

Uklon handles thousands of rides, hundreds of support tickets, and a steady stream of internal requests from different teams every single day. Since 2010, the company has racked up more than 35 million app downloads, serves over 3.8 million monthly active users, and now operates in two countries. When a business grows at that pace, its tools need to keep up.

Google Workspace as the Command Center

Uklon has run Google Workspace Enterprise for more than five years. The team started out using just Gmail, Docs, and Sheets. Over time, the company started asking for more: how do you make AI part of every tool instead of a separate app on the side?

Today, Gemini is Uklon’s core corporate GenAI. It’s built into Gmail, Google Docs, Sheets, Slides, Vids, Meet, and Google Chat. Teams reach for it every day—finding information, pulling data together, writing copy, building slides.

Gemini at Work: Three Places Where AI Takes the Routine Off the Team’s Plate

Uklon runs Gemini across three areas: the call center, the legal department, and R&D analytics. Here’s how each one plays out.

Call Center: Full Coverage Instead of Spot Checks

AI is already raising the bar for the call center—both at the team level and for each individual operator.

Gemini reads through call transcripts and scores them against key metrics: caller sentiment, whether the issue got resolved, customer satisfaction, and more. Those results land straight on dashboards for the team to review.

With Gemini handling the heavy analysis, the team can put its time into reviewing results and deciding what to fix next.

Legal Department: Requests Get Sorted Automatically

As a ride-hailing platform, Uklon gets a steady flow of requests through structured channels like Gmail. Some need the legal team’s attention. Many don’t.

Now Google Apps Script, paired with Gemini, scans incoming requests, flags which ones are relevant, and—once a person signs off—creates Jira tickets for the valid ones. That’s human-in-the-loop in action: AI handles the sorting, people keep the final say.

The payoff: requests get processed faster, and lawyers get their time back for the work that actually needs their expertise.

Data for Everyone, Not Just Analysts

Building a pivot table in Google Sheets used to mean either knowing your way around spreadsheets or filing a request with an analyst and waiting.

Now, Gemini in Google Sheets lets any employee type a request in plain language. The tool builds the pivot table itself, applies filters, pulls data together from different sources, and generates the visuals. The Research & Discovery team leans on this daily for reporting and analysis.

Security as a Given, Not an Option

Uklon is part of the international VEON group. The company goes through external and internal audits every year and holds GDPR and ISO/IEC 27001:2022 certifications. Any new tool—including AI—gets tested and signed off by the security team before it ever touches production.

In practice, that comes down to four rules:

  • Enterprise subscriptions only. Gemini runs strictly within the Google Workspace Enterprise Plus package. No personal accounts, no free plans, anywhere near a work tool.
  • Zero data retention. Data never sits on Google’s servers and never trains any models.
  • A closed corporate perimeter. Personal data stays inside Uklon’s own infrastructure and never leaves it. Data Loss Prevention (DLP) rules in Gmail and Google Drive catch and block any attempt to send sensitive information outside the organization.
  • Centralized access control. Permissions run through Google Admin Console at the organizational-unit level. Context-Aware Access limits who can reach corporate resources based on device, location, and session security. Chrome Enterprise adds device-level protection, and Google Vault handles archiving and audit trails for all corporate data to meet regulatory requirements.

The Next 2–3 Years: When Analytics Lives in Chat

Uklon is moving toward wider use of autonomous AI agents for routine work: crunching large datasets, building dashboards automatically, putting together reports.

One of the key scenarios on the 2–3 year horizon is conversational analytics. An employee types a question into Slack or Google Chat, the system pulls from internal data lakes, and the analysis comes back ready to use. No extra tools, no waiting around.

At the same time, Uklon is clear-eyed about one thing: AI initiatives succeed or fail based on adoption, not technology.

Cloudfresh: More Than Licenses
